About the Role:
We are seeking a proactive and knowledgeable Virtual Assistant (VA) to support a startup hospital cleaning business in streamlining operations, implementing efficient systems, and utilizing AI tools. The client has no prior experience working with virtual assistants or AI tools, so the ideal candidate must be able to train, guide, and suggest the appropriate tools and processes to help structure and organize the business effectively.
This role is perfect for a self-starter with strong organizational skills, technical know-how, and the ability to educate and empower the client on best practices for working with a VA.
Key Responsibilities:
– Business Structuring and Organization:
– Assess the client’s needs and provide recommendations for systems and processes to structure the business.
– Help prioritize and organize tasks to improve overall workflow.
– Develop and document business procedures for day-to-day operations.
– AI Tools Implementation and Training:
– Research and recommend AI tools (e.g., for scheduling, payroll, time tracking, and customer management) tailored to the client’s needs.
– Train the client on how to use these tools effectively to streamline business operations.
– Administrative Support:
– Manage employee schedules and oversee time tracking using appropriate software.
– Handle payroll preparation and ensure accurate and timely payments.
– Respond to emails and client inquiries, maintaining a professional tone.
– Educational Guidance:
– Clearly communicate the scope of a VA’s role and demonstrate how a VA can help with business growth.
– Set realistic expectations for tasks that can be delegated to a VA.
– Operational Support:
– Create and maintain reports, spreadsheets, and other business records.
– Research tools and software to improve operations and efficiency.
– Assist with other tasks as required to support the client in scaling the business.
Qualifications:
– Proven experience as a Virtual Assistant or similar role, particularly with startups or small businesses.
– Strong understanding of AI tools and technology, with the ability to train and educate others.
– Excellent organizational and multitasking skills, with the ability to take initiative and work independently.
– Exceptional communication skills, both written and verbal, in English.
– Familiarity with tools such as Xero, QuickBooks, Google Workspace, and scheduling platforms (e.g., Axiscare, Deputy, or similar).
– Ability to handle sensitive information with discretion and professionalism.
Preferred Skills:
– Experience working with clients who are new to working with VAs.
– Knowledge of business structuring, including creating processes for employee management, payroll, and client communication.
– Confidence in researching and suggesting tools tailored to the client’s specific needs.
– Familiarity with startups and the challenges they face in scaling operations.
