The Role
We need a Booking Coordinator to be the bridge between our clients and our therapists someone who can take an inquiry, find the right therapist, confirm the appointment, and make sure nothing falls through the cracks. This isn’t a “sit and wait for something to happen” job. It’s an as-needed, freelance role: you’re not on the clock for 8 hours doing nothing, you’re reachable and responsive during the specific window we need coverage — and you get paid for the work you actually do.

Availability window (subject to confirmation): roughly 12:00 PM – 8:00 PM Eastern Time, covering the hours when our client-facing inbox is busiest and our US-based founder is offline overnight (Bangkok time zone).

What You’ll Actually Be Doing
Checking email and responding to booking inquiries as they come in
Communicating with therapists in our team group chat to confirm who’s available
Confirming appointment details back to the client
Being active in Slack as part of our team communication flow
Answering phone calls when clients call directly
Making sure every inquiry gets a response — nobody sits unanswered
What We’re Looking For
Multiple years of experience in a coordinator, scheduling, or client communication role
Expert-level English — confident, warm, and clear in both writing and speaking. You’ll be the voice clients hear when they’re deciding whether to trust us with their care.
High energy — we move fast and we need someone who matches that pace, not someone who needs to be chased
Experience in a wellness, spa, or service-based booking environment strongly preferred — you already understand the rhythm of this kind of work
Comfortable with Slack, email, and calendar/booking tools (we use Wix Bookings)
Someone who reads the room — this is a wellness brand for women, and the tone of every interaction matters as much as the logistics
