Job Description:
We are looking for a dynamic and energetic Virtual Assistant to join our team. The ideal candidate will be responsible for answering incoming calls, directing traffic between the agents’ office and the service team, and providing excellent customer service.
Responsibilities:
– Answer incoming calls and direct traffic between the agents’ office and the service team
– Set appointments for current clients for their 30-day policy review, new clients for policy reviews, and cold calling for appointments
– Enter information for quotes, set up new client accounts in Epic, and OneNote
– Call next-day appointment reminders
– Complete log-in sheet audits once a month to ensure all passwords are up to date
– Prepare all DocuSign documents and follow up to ensure we capture signatures
– Call late pay reminders
– Make claim follow-up calls one day after the claim and 90 days after the claim to ensure the client was satisfied with the claim service
– Call to collect missing miscellaneous documents and send them to the service team
– Check voicemail twice a day
– Prepare other documents as needed
– Keep track of referrals and who referred what
– Gather quote information needed
– Make holiday thank you calls
– Send present pending contract emails
– Perform other duties as needed
Requirements:
– Excellent communication and customer service skills
– Attention to detail and strong organizational skills
– Ability to multitask and work in a fast-paced environment
– Proficient in Microsoft Office Suite
– Knowledge of Epic CRM and OneNote
– Great calendar management
– Previous experience as a virtual assistant to an insurance, claims, or collections company is preferred
Salary: $6 per hour, commensurate with experience
