The Role:

Bring your admin support expertise, attentive task management skills and your FUN personality to our fast-growing company. You will be responsible in organizing and scheduling the CEO’s calendar and assist the CEO and staff by performing a VARIETY of administrative tasks. Those who are proactive, are task oriented, and enjoy supporting multiple departments will find this role especially rewarding. This is a fully remote position.

Here’s What You Will Do:

Contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried out timely and professionally
Diligently monitor Asana projects and tasks daily to keep team accountable and on track to meet deadlines
Attend executive team meetings and proactively provide support where needed
Manage the CEO’s calendar including making appointments and prioritizing the most sensitive matters
Assist in scheduling and organizing internal and client meetings, including scheduling and sending reminders
Prepare internal and external agendas and take detailed meeting minutes
Perform editorial peer reviews on company and client documents
Assist with light HR tasks such as ordering/set up of tech equipment for new employees, new hire paperwork, manage electronic files and documents, etc.
Assist with travel arrangements
Complete light errands for the team (i.e. shipping/mailing)
Order office supplies for employees
Support staff with assigned project-based work which may include:
Assisting with preparing presentations
Managing and organizing SOPs
Light research
Newsletter formatting
Support and participate in charitable activities

Must Have Skills and Qualifications:

3+ years of experience in administrative assistant support
Bachelor’s degree or equivalent
Ability to prioritize and adapt to changing priorities
Excellent time management skills
Excellent organizational and multitasking skills
Excellent attention to detail
Professional interpersonal communication skills
Passion for supporting others
Advanced computer skills:
Microsoft Office 365 – Word, Excel, PowerPoint, Outlook, OneDrive, Teams
Asana & Canva a plus
Ability to quickly pick up different software systems
Location: Local to the Phoenix metro area. 95% Remote (work from home, with a highly engaged and disciplined work ethic), with possible occasional meet-ups with the team locally.

We’re looking for someone who can help us manage timelines and see tasks through to completion without needing to be micromanaged.
You’ll be supporting fast-moving team members that will appreciate your strong attention to detail and the ability to push back on them if a deadline seems implausible or you need more details before a task can be completed.
The best person for this role will understand our need for concise, articulate communication; adoption of our project management system, Asana; and resourcefulness.
