Position Overview:

We are seeking a dedicated and highly organized Executive Assistant to provide crucial support to the founder of two staffing agencies and two other businesses. This role requires meticulous attention to detail, excellent communication skills, and the ability to handle multiple priorities in a fast-paced environment. The Executive Assistant will play a pivotal role in ensuring smooth operations, managing communications, and enabling efficient workflow for the founder.

 

Responsibilities:

  • Email Management: Organize and prioritize incoming emails, draft responses when appropriate, and ensure timely follow-up on important correspondence.
  • Calendar Management: Coordinate and manage the founder’s calendar, scheduling meetings, appointments, and travel arrangements as needed.
  • Communication Liaison: Serve as a primary point of contact for internal and external communications on behalf of the founder, ensuring professionalism and clarity in all interactions.
  • Operations Collaboration: Work closely with the Operations Manager and the staffing team to streamline processes, facilitate information flow, and support operational initiatives.
  • Administrative Support: Provide general administrative support, including maintaining files, and handling other tasks as assigned.

 

Requirements:

  • Proven experience as an Executive Assistant or similar administrative role, supporting senior executives or business owners.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong written and verbal communication skills, with a professional demeanor.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and familiarity with calendar and email management tools.
  • Ability to maintain confidentiality and exercise discretion with sensitive information.
  • Adaptability and willingness to take on new challenges in a dynamic work environment.

 

Rate: $5-$8 per hour (DOE)

Schedule: To be determined, operating within PST timezone

Location: Remote work environment
